Telematics policy A clear written policy document that addresses the following key areas will provide work councils and unions with evidence that the necessary safeguards are in place: • The official purpose of the video programme • Confirmation that an appropriate and comprehensive DPIA and LIA have been completed, where required by applicable law • A detailed breakdown of who can access data and under what specific circumstances • A clear statement on how data will not be used (e.g. for disciplinary action unrelated to safety events) • The defined data retention period • The process for a driver to review footage from an incident in which they were involved • Phased rollout agreement, including any pilot studies and modular approaches to the use of the technology Hardware best practices The physical installation of the camera is important to get right. The device must be placed in a location that optimises safety, without obstructing the driver’s field of vision and in compliance with local laws. • The camera should be mounted so that the road-facing lens is within the swept area of the windscreen wipers to ensure clear footage in all weather conditions. • To comply with safety regulations, the device must be placed where it does not interfere with the driver’s line of sight. A common location is behind the rear-view mirror. • Avoid mounting hardware on the A-pillar, as this can create blind spots or interfere with airbag deployment zones.
